Terms & conditions 

Before booking your Port Charlotte Holidays accommodation online, please read through our Terms & conditions. If you have any questions about your stay with us or about the booking process, please don't hesitate to contact us. 

Making a Reservation

Check Availability
To check availability, go to our Book online tab and select your chosen property. Browse the up-to-date online calendar and select your holiday start date. Enter the number in your party and holiday duration to display the price.

Alternatively, please call us on 07979 023 021. Our phone is not manned all day so please
leave a message and we will call you back as soon as we can.

Instant Online Booking
You can book your accommodation and pay your deposit securely online.  When you submit a booking via our online reservation system, you will receive an automatically generated booking summary by email to the email address you provide in the booking form. This does not form a contract between us.  A contract shall only arise when your booking
is subsequently confirmed in writing via a letter of confirmation sent to you by email (or post).

Alternatively, if you would like to make a reservation by telephone, please
call us on 07979 023 021. If we are not available, please leave a message and
we shall call you back.

Deposit

In order to secure a reservation you need to
complete our booking enquiry form and pay a deposit of £200 (£150 for Kilchoman Apartment). A credit or debit card
payment secures a reservation. On receipt of your deposit, we will confirm your
reservation by email (or post). You are then responsible for the balance of the rental, which is due no later than 12 weeks prior to your arrival.
Bookings within 12 weeks of arrival are payable in full through our online booking system.

Balance
The balance of payment is to be paid 12 weeks
prior to arrival date. This can be done automatically by a pre-authorised credit card.  Alternatively, a reminder shall be sent to you providing the date upon which payment is due.

Short Breaks and Low Season Holidays
Weekend and part-week short breaks are available in low season - please check
the booking calendar for short break availability.

Mid and low season prices may be altered for smaller groups if the property is not let one month prior to arrival.  Please look out for our Late Availability Offers.

PLEASE NOTE: We recommend that you book
your ferry or flight to Islay as soon as possible as the popular ferries/flights can fill up quickly during key summer and peak period dates
such as bank holidays, Easter, special event weeks on Islay.  Port Charlotte is approximately 20 miles from Port Ellen and 16 miles from Port Askaig. Please allow plenty of travel time when booking your return ferry.

Security Deposit
A £250 refundable security/good housekeeping deposit will be added to youraccommodation price. The deposit will be returned to you withn one week afterdeparting from our property less any costs for breakages, damages or additional cleaning required.  This can be paid in one of two ways:
By pre-authorised credit card. You may pre- authorise payment of the Security/Good Housekeeping Deposit using credit card details.  The funds will be allocated from your card to Port Charlotte Holidays, but will notbe taken unless there is a claim.
By debit card. Debit cards cannot be pre-authorised and if debit card details aregiven, the funds will be banked prior to your stay and refunded following your stay.
No Claim
Provided the property is left as found at the end of the rental, no claim will be made.  The pre-authorisation code will be cancelled 7 days following your departure and no charge will be made on your card.  If you have paid by debit card, the full amount will be refunded to the same card.
Claim Arising
In the unlikely event of a claim, Port Charlotte Holidays shall provide you with a breakdown of the claim within seven days following your departure and shall deduct the required amount from your card.

Booking Information

Your Holiday
Your reservation should be for holiday purposes only unless otherwise agreed in
writing.  The properties should not be used for stag parties, hen parties, weddings or any special event without prior discussion and written agreement by Port Charlotte Holidays.

Your holiday price
Your holiday price includes: Broadband internet access, all bed linen and
towels (excluding beach towels), electricity, full
central heating, travel cots and high chairs. 
Beds are made up for your arrival. 

Electricity is included in the rental, but this does not mean that it is unlimited. Central heating systems will be set on timers
for certain periods of the day to keep the property acceptably comfortable in all seasons.  For those who have special requirements, it is possible to pay a supplement for additional central heating.  Please specify at the time of booking.

Port Charlotte Holidays are not responsible for any failure of the Broadband Internet service where the problem originates elsewhere or is an area problem or a service provider problem.  No compensation is payable in the event of this service failing, being unavailable or too slow.

Baby & Toddler Equipment and Special Requests

Holiday Protection
To minimise the cost and inconvenience of
cancelled bookings, guests are strongly recommended to take out holiday
insurance.

Cancellation
If you require to cancel a reservation for any
reason we must be notified by telephone immediately and the cancellation must be confirmed in writing within 5 days. The day on which we receive the telephone cancellation is the day on which your reservation is cancelled. In the event of a cancellation, we will make every effort to re-let the property.

If we are able to re- let the property, you will be
reimbursed in full less the sum of £35 to cover administration costs. However, we strongly advise that you take out insurance cover to prevent the following costs:
If we are unable to re-let the property, cancellation costs shall be incurred as follows:

>More than 12 weeks before booking commences your deposit shall be forfeited.

>Less than 12 weeks before booking commences you will be liable to pay the full
cost of rental (i.e. deposit and full balance).

Adverse Travel Conditions
Where there are ferry/ plane disruptions due to bad weather conditions or for
any other reason, we cannot be held responsible and so no refunds can be
provided.

Your Holiday

Arrivals and Departures
In general, our lets run from Saturday to
Saturday. Your house shall be ready for you at 15.30 hours and outgoing guests are requested to vacate the house prior to 09.30 hours on the departure date.
You can arrive at your holiday property between 15.30 hours and 16.30 hours on
the start date of your holiday and you must have vacated the property by 09.30 on your departure date.  This is to ensure adequate time to prepare for incoming guests. Our housekeepers shall enter the properties at 09.30 to commence their duties. If a later checkout is required, this must be confirmed in writing by us in advance of your holiday and shall only be possible if there are no incoming guests on your departure date.

If you anticipate arriving later than 17.00 hours, please contact our manager prior
to your arrival date to let her know and to make alternative arrangements.  If you fail to do so, you may be unable to gain access to
the property.

Cleaning
You agree to keep the house clean and tidy and
leave it in a similar condition of cleanliness to when you arrived. Any additional cleaning of the property, beyond the normal amount reasonably required, may be charged as extra and deducted from your Security/Good
Housekeeping Deposit.

In the unlikely event that a property is
left in an inappropriate manner or in the case of certain damages and losses, part or all of the security deposit shall be retained by Port Charlotte Holidays.  See Security Deposit above.

Breakages and Damage
You agree to report any breakages or damage to us prior to your departure in order that these can be rectified for incoming guests. In the unlikely event that a property is left in an appropriate manner or in the case of certain
damage and losses, part or all of the Security/ Good Housekeeping deposit shall be retained by Port Charlotte Holidays.

Keys

There is no key cutting service on Islay. Any
missing or damaged keys shall be charged to the Security/ Good Housekeeping Deposit at £30 per set.

Pets

We regret that we are unable to accommodate
pets. Please ensure that all members of your party are aware of this restriction. If it is established that pets have been to the property, the full Security/Good Housekeeping Deposit may be claimed in order to meet the cost of a deep clean.

Smoking
All of our properties are strictly non –smoking.  If smoking is detected following your stay, the full Security/Good Housekeeping deposit shall be withheld for the purpose of a deep clean.

Occupancy
You agree that the numbers in your party will
not exceed the stated house capacity. The number of guests shall be stated in your booking form.

Liability
In signing the booking form you agree to indemnify Port Charlotte Holidays against all loss and damage arising directly or indirectly
to the property and its contents from any deliberate or negligent act or omission by yourself, or any other person accompanying you or any member of your party.

Port Charlotte Holidays is insured against loss or injury through their negligence.  In the absence of any negligence or other breach of duty by Port Charlotte Holidays, the use by the Tenants of any of our properties is entirely at their own risk.
